Purpose and Scope of Role

To be responsible for all aspects of administration duties and key day-to-day activities as required by the Bowmore Distillery Team, including interacting externally with customers, suppliers and the general public.

Role Responsibilities

  • Corresponding with internal/external customers and suppliers via email/phone/letter.
  • Supporting the distillery management team(s) with general admin tasks.
  • Working closely with other company Facilitators to prepare and deliver OBSW (One Beam Suntory Way) workshops at all the Scottish and Irish sites, as required.
  • Support Lean Manufacturing meetings through minute taking and action management.
  • Support Islay site integration, through attending meetings, events and completing any actions required of the Bowmore site.
  • Liaise with Internal Auditors to arrange site visits to complete audits.
  • Ordering of office and site maintenance supplies.
  • Maintain and update site TV communications systems, including Onelan, to agreed frequencies.
  • Raising and processing of Purchase Orders, including receipting, in SAP.
  • Assisting with the maintenance of distillery controlled paperwork (e.g. SOP’s, WI’s, Control Forms, COSHH Assessments, Risk Assessments etc.) on the Compliant Pro and Q-Pulse electronic systems.
  • Organisation of site events and travel plans, including Catering, travel and accommodation.
  • Evening and weekend working when required (eg. festival week)
  • Maintenance of filing and archiving systems to a 5S standard.
  • Management of mail correspondence & parcels (e.g. spirit, production / effluent samples etc.).
  • Assist with month end reporting.
  • Any other reasonable duties as required from time to time

Key Skills and Competencies

  • Good knowledge of Microsoft Outlook, Word, Excel and PowerPoint
  • Proven ability to work on own initiative and to build and maintain excellent relationships with key stakeholders
  • Strong drive and desire to succeed with high levels of energy and ambition
  • Excellent communication and interpersonal skills
  • Ability to multi-task in a demanding environment
  • Clean driving licence


  • 2-3 years office administration experience preferred
  • Experience of Lean Manufacturing principles and practices would be advantageous
